How to Train Your Chatbot

1. Gather real questions. Spend one week noting every question your team receives by WhatsApp, phone, email, and in person. Group similar questions together. These are your training data. 2. Write clear answers. For each question, write the answer you would give if a customer asked you directly. Use your actual voice — the words and tone your business uses. Do not write marketing copy. Write real answers. 3. Include variations. Customers do not phrase questions identically. “How much does it cost,” “What is the price,” “What are your rates,” and “How expensive are you” are the same question phrased four ways. Train the chatbot to recognise all of them. 4. Define what the chatbot does not answer. Equally important: tell the chatbot what not to answer. Legal advice. Medical diagnoses. Price negotiations. Complaints. For these, the chatbot should say “Let me connect you with a team member who can help with this.” 5. Test with real people.
