A chatbot knowledge base is the collection of questions and answers the chatbot draws from. Building it properly means gathering real customer questions, writing accurate answers, and organising the information so the chatbot can find the right response quickly. Do this well and the chatbot handles most enquiries. Do it poorly and it frustrates every customer.

Building the Knowledge Base

1. Collect real questions. Review your last 500 customer interactions across WhatsApp, email, phone, and in person. Extract every unique question. Group similar questions together. 2. Prioritise by frequency. The questions asked most often are the highest priority. Answer those first and most thoroughly. 3. Write complete answers. Do not write one-sentence answers. Write answers that anticipate follow-up questions. “How much does it cost” should be answered with the price AND what is included, what is extra, and payment options. 4. Include question variations. For each question, list 5-10 different ways customers phrase it. Train the chatbot on all variations. 5. Define what not to answer.
