Handling Complaints Through a Chatbot
1. Acknowledge immediately. “I understand this is frustrating, and I want to help resolve this for you. Let me connect you with our team who can address this directly.” Acknowledge the emotion before offering the solution. 2. Never argue or defend. The chatbot should never say “our policy states” or “you should have.” It should acknowledge, apologise for the experience, and escalate. 3. Collect relevant information. “To help our team resolve this quickly, may I have your order number or the date of your visit?” The chatbot gathers context so the human does not have to ask again. 4. Escalate immediately. Complaints should never sit in a chatbot queue. Route to a human within minutes during business hours, or flag for urgent follow-up outside hours. 5. Follow up afterward. After the human resolves the complaint, the chatbot follows up: “We hope your issue has been resolved.
